Best AI tools for small law firms (2026)

Solo and small firms lose money in two predictable places. The first is the call that goes to voicemail while you're in court, when that potential client hires whoever answers. The second is the unbilled admin that happens at night: intake, conflict checks, engagement letters, document assembly, status updates and invoices. Good practice management and intake fix most of it. Generative AI helps with drafting and summarizing, as long as you treat it like a fast junior who sometimes invents things.
From missed call to signed engagement
- Tuesday, 10:40 a.m.: you're at a hearing. A potential client calls about a DUI arrest from last night. The answering service (human or AI) captures name, contact, charge, court date and how they heard of you, then books a consult for 4:30.
- 10:45: the lead lands in the CRM and a conflict check runs against existing contacts and adverse parties. No conflict.
- 10:46: an automated text with your intake form and what to bring (citation, bail paperwork, license status).
- 4:30 p.m.: the consult. Your intake form is already filled out, so the meeting is advice, not data entry.
- 5:15: the engagement letter goes out for e-signature with a trust-compliant payment link for the flat-fee retainer.
- 8:02 p.m.: signed and paid. The matter opens from a DUI template with deadlines (DMV hearing request window, arraignment), tasks and a document folder.
Without the system, the 10:40 call is a voicemail you return at 6, and by then they've hired someone.

What it costs a three-lawyer firm with two staff
- MyCase Pro, 5 users: $500/mo annually, including intake forms, CRM, e-signature, texting and the AI writing assistant.
- PracticePanther Business, 5 users: $445/mo annually.
- Clio Starter, 5 users: from $245/mo, but without AI or the client portal. Core and up need a quote.
- Processing: collecting $40,000 a month, half by card, at about 2.95% is about $590 a month. Encouraging ACH (around 1%) on large retainers saves real money.

1. A firm AI policy on one page
- Approved tools: name them, and note which ones may receive client information under their data terms.
- Never: paste privileged or identifying client facts into consumer tools, file anything with unverified citations, or let AI communicate with clients unsupervised.
- Always: verify citations against primary sources, have a lawyer review AI-drafted work product, and keep a record of what was AI-assisted where your jurisdiction expects disclosure.
- Billing: bill actual time. Flat fees capture efficiency.
2. Where AI earns its keep now
- Client letters: "Rewrite this explanation of the probate timeline for a grieving adult child. Warm, plain language, under 200 words, no legalese, keep every date exactly as written."
- Document summaries: inside your platform's AI, with protections in place: key dates, parties and obligations from a 60-page lease. Then check them against the source.
- Deadline extraction: Clio Core-level tools turn documents into calendar entries, but confirm every date against the court rules.
- Practice-area intake questionnaires and conflict-check prompts.
- Website FAQs and blog posts, reviewed against your state's advertising rules (no "specialist" claims unless certified).
3. Get paid without chasing
Payment links on every invoice, autopay for payment plans, automatic reminders at 7, 14 and 30 days, and evergreen retainers replenished from trust where your agreement and rules allow. Reconcile trust monthly, even when the software does most of the work.
Recommendations by firm size
- Solo, budget-first: PracticePanther Solo ($49) or Clio Starter, plus Calendly and an AI receptionist so no lead goes to voicemail.
- Solo or small firm wanting AI and intake in one place: MyCase Pro ($100/user annually).
- 2–10 lawyers, marketing-driven: MyCase Pro or Advanced, or a Clio Core or Elite quote, plus Lawmatics or Clio Grow for intake nurture.
- Document-heavy practice: get a Smokeball quote and compare document automation on a real matter.
Honest downsides
- Quote-only tiers make comparison slow. Ask for per-user rate, term, add-ons and renewal pricing in writing.
- Migration risk. Moving matters, trust balances and documents mid-case is delicate. Plan it and reconcile before and after.
- AI hallucination is a professional-responsibility risk, not a theoretical one.
- Processing fees on large card retainers can exceed your software bill.

FAQ
What practice management software do small law firms use?
The common choices are Clio (Starter from $49/user/month, with AI-heavy Core, Signature and Elite quote-only), MyCase (Basic $50, Pro $100, Advanced $130 per user/month billed annually, or $60/$120/$150 monthly, with AI on Pro and up), PracticePanther (Solo $49 to Business Pro $114 per user/month annually) and Smokeball (quote-only, known for automatic time capture and document automation). Pick on how you bill, your practice area’s documents and the integrations you rely on.
Is it ethical for lawyers to use generative AI?
Yes, with care. ABA Formal Opinion 512 (July 2024) says lawyers using generative AI must maintain competence, protect confidentiality (including understanding a tool’s data terms before inputting client information), communicate with clients where relevant, supervise the output and charge reasonable fees. Many state bars have issued their own guidance. Verify every citation, since courts have sanctioned lawyers for briefs with fabricated cases.
Can I bill for time saved by AI?
You can’t bill hourly for time you didn’t spend. Opinion 512 is explicit that fees must be reasonable and based on actual time for hourly work. Flat fees for defined services are where AI efficiency becomes profit. Check your jurisdiction before passing through AI tool costs as expenses.
Do I need an answering service?
If calls regularly go to voicemail while you’re in court, probably yes. Many potential clients call the next firm rather than leave a message. Smith.ai’s human legal intake starts at $300/month for 30 calls, and its AI receptionist is cheaper. At minimum, have an online intake form, an instant auto-text to missed callers and a same-day callback rule.
How do these platforms handle trust accounting?
Clio, MyCase and PracticePanther all include trust (IOLTA) accounting and trust-compliant payment processing that keeps earned and unearned funds separate. Card fees still apply. Clio lists 2.95% for cards (3.75% Amex) and 1% for eCheck/ACH. Confirm the platform supports your state’s reconciliation requirements, and still reconcile monthly.
What is the safest first AI use for a law firm?
Non-confidential work: plain-English rewrites of client explanations you’ve drafted, intake questionnaires, website FAQs, and job posts. Next, use AI built into your practice management platform (for example MyCase Pro’s writing and document assistant, or Clio’s AI on Core and up) under its data terms, for summarizing documents and drafting client updates you review.
