Best AI tools for small farms and CSAs (2026)

What most direct-market farms should do: sell online through a farm-specific store, and keep the farmers market on a phone card reader. Local Line Core at $87 a month on annual billing is the best value for farms that sell retail and wholesale. Barn2Door is the pick if you want a done-for-you website along with the store. For crop records and traceability, Tend starts free.
Use AI for the weekly harvest email and restaurant price sheets. Those two jobs take more evening hours than most farmers admit.
A Tuesday in July
- 5:30 a.m.: harvest list from the farm records app: 40 pounds of tomatoes, 25 heads of lettuce, 60 bunches of carrots, basil and the first peppers.
- 8:00: availability updates in the online store. Two restaurants get the wholesale price sheet by email.
- 9:00: AI drafts the CSA newsletter from your notes: what is in the share, what is coming, a quick recipe for kohlrabi. You add a line about the storm last week.
- 12:00 p.m.: online orders close for Thursday pickup. The store prints pick lists by pickup site.
- 2:00: lot codes go on the restaurant boxes, logged in the records app.
- 4:00: farm stand opens. Sales run through a card reader on a phone.
- 8:30: you check the week's sales by channel: CSA, online, restaurants, stand. Restaurants are 30 percent of revenue and growing.

Costs at three farm sizes
Market garden, $50,000 a year, mostly markets. Square Free at the stand and Tend's free plan for records. No monthly software cost. Card fees on $30,000 of card sales are about $780 plus 15¢ a swipe.
Diversified farm, $200,000, with a CSA and restaurant accounts. Local Line Core at $1,044 a year. Is Premium worth it for the lower card rate? It saves 0.2 percent, so on $150,000 of online card sales that is $300 a year, against $864 more in plan cost. Only upgrade for the features, like subscriptions and barcode scanning.
Farm that wants a full website built for it. Barn2Door Business at $159 a month and $499 setup, so about $2,400 the first year. More than Local Line, but you get the site and the store together without hiring a designer.
Where AI helps on a farm
Writing, mostly. Farmers are good at growing and tired by 8 p.m.
The weekly email. Give it your harvest list and two lines of farm news. Ask for a short, friendly note with one simple recipe. Members read these, and they cut "what do I do with this" questions.
Restaurant price sheets. A clean weekly sheet with items, pack sizes and prices makes it easy for a chef to order fast.
Grant and loan applications. USDA and state programs ask for long narratives. AI can turn your notes into a first draft, which you check carefully for accuracy.
Planning help. It can draft a succession planting outline. Fix it with your frost dates and what actually grows on your ground.
Restaurant accounts take a little system
Chefs are good customers and hard ones. They order late, change quantities and pay on terms.
Send availability on the same day every week, with a firm order cutoff. Put pack sizes and prices on one page so the chef does not need to ask. Deliver with an invoice in the box, and track who has paid in your store or accounting tool.
Wholesale price lists in a farm store help here, because each restaurant sees its own prices and orders from a link instead of a text thread at 10 p.m.
Getting set up for next season
- List every product with unit, retail price and wholesale price, plus the pack sizes restaurants buy.
- Set pickup sites and delivery days, with order cutoffs that match your harvest days.
- Build CSA shares with payment plans and a clear pause or skip policy.
- Set up lot codes for wholesale boxes, even if you are exempt, because buyers increasingly ask.
- Collect emails at the market with a sign-up sheet or QR code.
- Write templates with AI help for the weekly email, a restaurant price sheet and a season-end thank-you.
Our picks for different farms
Market-first farm: Square Free and Tend Free. Spend money on a good canopy, not software.
CSA plus restaurants: Local Line Core. No setup fee, solid wholesale tools, and you can step up to Premium when recurring orders matter.
Farm wanting a website and store in one: Barn2Door. The setup fee buys you a site you do not have to build.
Livestock or meat sales: Farmbrite for herd records, with Local Line or Barn2Door for selling by weight.
What to know going in
Card fees are the real cost of online sales. At 2.9 percent plus 30¢, a $25 order loses about $1.03. Push CSA members toward ACH where offered.
Setup fees on some platforms are steep for a first-year farm. Barn2Door's start at $399.
Online stores need weekly upkeep. Out-of-date availability frustrates customers faster than not having a store.
AI does not know your soil or your weather. Use it to write, and trust your field notes for everything else.

FAQ
What is the best online store for a small farm?
Local Line and Barn2Door are the two built for farms. Local Line Core is $87 a month on annual billing with no setup fee and handles wholesale price lists and pick lists. Barn2Door's Business plan is $159 a month plus a $499 setup fee and includes a custom website. If you mostly sell at markets, Square's free plan plus a simple online store may be enough.
How do I run a CSA without spreadsheets?
Use a store that supports subscriptions or recurring orders, so members pay in installments and choose pickup sites. Local Line's Premium plan lists subscriptions and recurring orders. Barn2Door includes subscriptions on its plans. Either one gives you pick and pack lists by pickup site, which is where spreadsheets usually break.
Do I need farm record software?
If you sell to restaurants or grocers, or need food safety records, it helps. Tend has a free plan and a $30 Pro plan with lot traceability. Farmbrite starts at $29 a month and is strong for livestock. For a market garden with simple sales, a notebook and a good spreadsheet still work.
What about the FDA food traceability rule?
Enforcement of the FDA's food traceability rule is now set to begin July 20, 2028, after a 30-month extension. Many small farms are partly or fully exempt based on sales size and what they grow, but the rules are detailed. Check the FDA's exemption tool, and if you sell foods on the traceability list to wholesale buyers, start keeping lot records now.
How can AI help a farm business?
Mostly with writing and planning: weekly harvest emails, product descriptions, recipe cards for odd vegetables, restaurant price sheets and grant application drafts. It can also help sketch a planting schedule, which you then fix with your own frost dates and bed counts.
