Independent auto shops write all day between the bays: status texts, repair explanations, approval asks, review replies, seasonal specials and notes for the next shift. The free ChatGPT tier handles most of it with good prompts. Copy these, fill in the brackets, and always read the output before you send it.
Tip: start each chat with a short "about my shop" note (services, brands you specialize in, towns you serve, tone). Do not paste customer VINs with names, addresses, card numbers or insurance claim details.
1. Plain-English repair explanations
- Tech notes to customer: "Turn these tech notes into a clear explanation for a car owner: [notes]. Cover what is wrong, why it matters, what happens if they wait, and what we recommend. Under 150 words, plain English, no scare tactics."
- Good / better / best: "Create three repair options using these details and prices: [details]. Compare repair vs replace where it applies, and keep it easy for a customer to choose. Label options clearly."
- Why this part failed: "Write a short, honest explanation of why [part] commonly fails on a [year make model], based only on these facts: [facts]. Do not invent mileage or warranty claims. Under 100 words."
- Safety vs convenience: "Rewrite this estimate so safety items are listed first and convenience items second: [estimate bullets]. Keep the customer's language simple."
Send approvals and repair orders from your shop management system. Use ChatGPT only to tighten the wording customers see. For a fuller stack, see our AI tools for auto shops guide.
2. Status and appointment texts
- Car ready: "Write a short text saying a customer's [year make model] is ready for pickup, total is [amount], and we take [payment methods]. Under 40 words."
- Parts delay: "Write an apologetic text explaining that a part for [repair] is delayed until [day], and offer a loaner or rideshare credit if we offer one: [policy]. Under 50 words."
- Approval needed: "Write a clear text asking approval for additional work found during inspection: [findings and price]. Ask them to reply YES to approve. Under 60 words."
- Drop-off reminder: "Write a friendly reminder text for a [oil change / inspection / diagnostic] appointment tomorrow at [time]. Include address placeholder and what to bring (keys, prior paperwork)."
A shared business line from Quo keeps these texts in one place so the front counter and the owner see the same thread.
3. Follow-ups that bring the car back
- Estimate follow-up: "Write a two-sentence text following up on a repair estimate I sent [X] days ago. Friendly, no pressure, offer to answer questions about the findings."
- Declined work reminder: "Write a polite 90-day reminder about declined work: [item], why it still matters, and how to book. Under 50 words, no scare tactics."
- Maintenance due: "Write a short text reminding a past customer that [oil change / tire rotation / brake inspection] is due around [mileage or date]. Include a booking link placeholder."
- No-show recovery: "Write a short text after a missed appointment offering two new times this week. Under 40 words."
4. Google review replies
- Positive review: "Reply to this 5-star Google review for my auto shop: [review]. Thank them by first name, mention the vehicle or service type if given, under 50 words, no emojis."
- Negative review: "Reply to this negative review: [review]. Stay calm, acknowledge the concern, do not argue or share private repair details, and invite them to call the shop to make it right. Under 80 words."
- Review request: "Write a short text asking for a Google review after we finished [service] on their [vehicle] today. Include a link placeholder, under 40 words."
To automate review asks at pickup, look at Podium or Birdeye. On a budget, send the ChatGPT-written text by hand while the customer is still happy.
5. Seasonal specials and marketing
- Season calendar: "Make a 12-month marketing calendar for an independent auto repair shop in [region]. For each month, list what to promote (AC checks, battery/charging, tires, brakes, state inspections, winter prep) and one post idea."
- AC / winter email: "Write a short email to past customers offering [AC performance check / winter battery and tire check] before [season], with a booking link placeholder and a deadline of [date]."
- Counter sign: "Write counter-sign copy for [brake special / oil change + inspection / cabin filter]. Headline, three bullets, price if given: [price], CTA. Under 50 words."
- Social captions: "Write five short Facebook captions for shop photos: one brake job, one diagnostic win, one clean bay tip, one seasonal special, one thank-you to a long-time customer."
Drop the copy into Canva for counter signs and posts, and send emails with Mailchimp if you keep a customer list.
6. Front-counter and bay notes
- RO summary: "Turn these tech notes into a short repair-order summary the service writer can read aloud: [notes]. Include concern, findings, recommended work, and parts waiting if any."
- Handoff note: "Rewrite these messy notes into a clean handoff for the next shift: [notes]. Include vehicle, customer concern, what was tried, what is waiting on parts, and next step."
- Phone FAQ: "Write short answers for our front desk for these questions: hours, do we need an appointment for oil changes, do we work on [diesel / European / hybrids], loaner policy, and how long a diagnostic usually takes. Facts only: [facts]."
- Translate: "Translate these pickup instructions into Spanish in simple, clear language: [instructions]."
7. Website and Google listing
- "Write a 300-word service page for [service, e.g. brake repair / AC service / check-engine diagnostics / state inspection] in [town], with a short FAQ. Only use these facts: [facts]."
- "Write a Google Business Profile description for my auto repair shop under 750 characters. Services: [list]. Areas: [towns]."
Before you rely on AI writing
- Check every price, part number, labor time and warranty term before it goes out. AI will invent details.
- Do not let AI decide torque specs, fluid capacities, recall status or diagnosis. Use OEM service information and the NHTSA recall lookup.
- Get repair approvals in writing (text works) before doing extra work.
- If the phone rings while everyone is under a car, prompts will not catch the call. See our AI receptionist guide.
