Best AI tools for travel agents and advisors (2026)

My recommendation: if you are a home-based advisor selling custom trips, start with Tern. At $35 a seat on annual or quarterly billing it covers CRM, itineraries and booking tracking in one place. If you already love a visual itinerary app, Travefy is still the most polished for that one job. Newer advisors who mostly need intake forms and invoices can get by with TravelJoy.

Then use ChatGPT or another assistant for first drafts of proposals and emails. Never send an AI itinerary to a client without checking every detail.

One honeymoon, from inquiry to departure

  • Day 1, 8:40 p.m.: a couple fills out your intake form from your Instagram link. Budget, dates, "beach but not boring," no long flights after the wedding.
  • Day 2, 9:00 a.m.: the form has already created a client record and sent your $150 planning fee invoice. They pay before lunch.
  • Day 2, 1:00 p.m.: you ask AI for three honeymoon outlines matching their notes. Two are reasonable. One routes them through a 14-hour connection. You toss it.
  • Day 3: you research resorts with your supplier contacts, check availability and build two options in the itinerary tool with photos and prices.
  • Day 5: the couple chooses option two. Deposits are logged against the trip so you can track commission.
  • 45 days out: an automatic email reminds them about final payment. AI drafted the wording months ago; you approved it once.
  • 7 days out: the final itinerary goes to their phones with confirmation numbers, transfer times and a packing list.
  • Return plus 3 days: a welcome-home note asking for a review and a photo for your social posts.

What it costs at your size

New advisor, part-time, under 20 trips a year. TravelJoy Starter at $19 covers 12 trips a year, which you may outgrow. Travefy's new advisor program at $25 a month is the other easy start. ChatGPT free, Canva free. About $20 to $25 a month.

Full-time solo advisor, 60 to 100 trips a year. Tern at $35 a month, or $420 a year. Add Canva Pro at $144 and ChatGPT Plus at $240 if you write a lot. Around $800 a year. One $150 planning fee covers most of a quarter.

Small agency, one owner and four advisors. Tern for five seats at $35 is $175 a month, or $2,100 a year. Travefy Core with four added seats is $39 plus $80, so $119 a month, if you only need itineraries. Choose based on whether you want the CRM and commission tracking in the same tool.

Watch the card fee math

On a $150 planning fee, TravelJoy Starter's 5% plus 30¢ costs $7.80. On Pro it is $5.55. A standard processor at around 3% plus 30¢ would be closer to $4.80. That is small per trip, but on 80 trips a year the gap between Starter and a standard rate is about $240.

The fix is simple: take planning fees by ACH where you can, or raise the fee a few dollars to cover cards.

Setting up your system

  1. Write your intake form first: dates, travelers, budget range, pace, must-dos, deal-breakers and how they heard about you.
  2. Connect the form to your planning fee invoice so nothing starts until it is paid.
  3. Save three or four itinerary templates: all-inclusive beach week, Europe two-city, cruise with pre-stay, family theme park.
  4. Write your payment reminder and pre-departure emails once, with AI's help, and set them to send automatically.
  5. Track every booking with supplier, deposit date, final payment date and expected commission.
  6. Add a post-trip review request with a direct link.

Using AI without embarrassing yourself

AI is a fast first draft. It is not research. It will happily recommend a restaurant that closed in 2023 or a 40-minute drive that takes two hours on mountain roads.

Use it to write, not to decide. Good jobs for it: a warm proposal intro based on the client's own words, a destination overview for a family who has never been abroad, a packing list for a December river cruise, captions for your trip photos.

Keep passport numbers, birth dates and card details out of chat tools. Your CRM is the place for those.

Who should pick what

Pick Tern if you want one tool to run the business and you sell enough trips that commission tracking matters. It is the best value for full-time advisors.

Pick Travefy if your clients care most about the look of the itinerary and you already track bookings elsewhere, often through your host agency.

Pick TravelJoy if you are early, part-time, or mostly handle simple bookings and want forms and invoices to just work.

Before any of these, check what your host agency already gives you. Many include a CRM or booking tracker, and paying for two is common and wasteful.

Things that will bug you

Supplier data does not flow cleanly into any of these tools. You will still copy confirmation numbers from emails and supplier portals.

Itinerary apps look great on screen but print awkwardly, and some older clients want paper. Test a printout before you choose.

Monthly fees add up next to small commissions on cheap trips. If your average trip earns $200 in commission, keep the stack lean.

And AI makes generic trips easy to produce, which means clients can produce them too. Your edge is supplier knowledge and fixing problems mid-trip, so put that front and center.

FAQ

What is the best software for an independent travel agent?

For most home-based advisors, Tern or Travefy. Tern bundles CRM, itineraries and booking tracking for $35 a seat on quarterly or annual billing. Travefy is the long-time itinerary builder, from $39 a month billed annually. If you mostly need intake forms, invoices and client trip pages, TravelJoy Pro at $32 to $39 a month is simpler.

Can ChatGPT plan a trip for my clients?

It can draft one, and that is useful. Ask for a day-by-day outline based on the client's pace, budget and interests, then check every hotel, restaurant, ferry and opening time yourself. AI often suggests places that closed or mixes up travel times between towns. The value you sell is that you checked.

Should I charge a planning fee?

Many advisors now do, especially for complex or custom trips where supplier commissions are small or missing. A flat fee credited toward the booking is the easiest to explain. Your software should be able to send the invoice with your intake form so the fee is paid before you start researching.

How many hours does AI save a travel advisor?

Mostly on writing. Trip proposals, destination descriptions, packing lists, pre-departure emails and social posts used to eat evenings. A first draft from AI and a 10-minute edit replaces 45 minutes of typing for many advisors. Research and supplier work still take as long as they did.

Do I need to register as a seller of travel?

Possibly. Several states, including California, Florida, Washington and Hawaii, have seller of travel registration rules. Many host agencies cover parts of this for their advisors, but check your own state's rules and your host's agreement.
