Plumbing shops write a lot between calls: emergency texts, quotes, follow-ups, review replies, seasonal promos and notes for the next tech. The free ChatGPT tier handles most of it with good prompts. Copy these, fill in the brackets, and always read the output before you send it.

Tip: start each chat with a short "about my business" note (services, brands you install, service area, tone, emergency fees). Do not paste customer phone numbers, addresses, lockbox codes or payment details.

1. Emergency texts

  • On my way: "Write a short, calm text from a plumber named [name] saying they are about 20 minutes out for an emergency call. Under 30 words."
  • Burst pipe / flooding: "Write a short text for a customer with a burst pipe or active leak while they wait for us. Tell them to shut off the main water if they can find it, move valuables, and do not open walls. Under 50 words."
  • No water / sewer backup: "Write a triage text for a customer reporting [no water / sewer backup]. Include two safe checks they can do, tell them what not to flush or run, and confirm we are en route."
  • Running late: "Write an apologetic text saying our plumber is running about [X] minutes late because the previous emergency ran long, and offer to reschedule if needed."
  • After-hours fee: "Write a clear, polite text explaining our after-hours emergency fee of $[price] before we dispatch, and ask them to reply YES to confirm."

2. Quotes and estimates

  • Notes to estimate: "Turn these tech notes into a clear plumbing estimate for a homeowner: [notes]. Explain the problem in plain English, list options, what is included, warranty, and that the quote is valid for 30 days. Under 250 words."
  • Water heater options: "Create good / better / best options for a [tank / tankless] water heater replacement using these units and prices: [details]. Compare capacity, efficiency and warranty without jargon."
  • Repair vs replace: "Write a short, honest explanation for a customer with a [age]-year-old [fixture / water heater / sewer line] and a $[price] repair, comparing repair versus replacement. No scare tactics."
  • Explain a line item: "Explain in two short paragraphs what [item, e.g. cleanout install / PRV / expansion tank / camera inspection] does and why it is on their estimate. No jargon."

If you send estimates often, put them in Housecall Pro, Jobber or ServiceTitan so customers can approve online, and use ChatGPT to tighten the wording. For a fuller stack, see our AI tools for plumbers and HVAC guide.

3. Follow-ups that win the job

  • Estimate follow-up: "Write a two-sentence text following up on a [job] estimate I sent [X] days ago. Friendly, no pressure, offer to answer questions or walk through financing."
  • Last follow-up: "Write a final follow-up email for an unanswered plumbing quote. Mention our schedule is filling up for [month] and offer to hold a slot until [date]."
  • Past customer check-in: "Write a short text to customers we installed a [water heater / fixture] for last year, asking if they want a quick check or filter change. Include a booking link placeholder."
  • Maintenance plan pitch: "Write a plain-English explanation of our plumbing membership: [benefits and price]. Under 120 words, for a postcard and a text version."

4. Google review replies

  • Positive review: "Reply to this 5-star Google review for my plumbing company: [review]. Thank them by first name, mention the tech and the work, under 50 words, no emojis."
  • Negative review: "Reply to this negative review: [review]. Stay calm, acknowledge the issue, do not share account details or argue, and invite them to call our office manager. Under 80 words."
  • Review request: "Write a short text asking a customer for a Google review after [tech] fixed their [issue] today. Include a link placeholder, under 40 words."

To send review requests automatically after every job, look at NiceJob, Podium or Birdeye.

5. Seasonal marketing

  • Season calendar: "Make a 12-month marketing calendar for a plumbing company in [region]. For each month, list what to promote (freeze prevention, water heater flush, sump pump checks, sewer camera specials, fixture upgrades) and one post idea."
  • Freeze-prevention email: "Write a short email to past customers with winter freeze tips and an offer for outdoor faucet / pipe insulation checks at $[price], with a booking link placeholder and a deadline of [date]."
  • Water heater promo: "Write a Facebook post for a limited [tankless upgrade / water heater flush] promo before [season], with three benefits and a CTA."
  • Sump / sewer season: "Write door hanger copy for spring sump pump and sewer line inspections in [town]. Headline, three bullets, offer, CTA. Under 60 words."

Drop the copy into Canva for flyers and posts, and send emails with Mailchimp.

6. Crew notes and dispatch

  • Clean up job notes: "Rewrite these rough tech notes into clear job notes for the customer record: [notes]. Sections: complaint, findings, work done, parts used, recommendations, follow-up needed."
  • Dispatch summary: "Turn these call notes into a dispatch note for the plumber: [notes]. Include issue, fixture or system if known, access notes placeholder, priority, and what to bring."
  • Callback handoff: "Write a handoff note for a second tech going back to a callback job, based on: [first visit notes]. List what was tried and what to check next."
  • Translate: "Translate these install instructions into Spanish in simple, clear language: [instructions]."

7. Website and Google listing

  • "Write a 300-word service page for [service, e.g. emergency drain cleaning / tankless water heater install] in [town], with a short FAQ. Only use these facts: [facts]."
  • "Write a Google Business Profile description for my plumbing company under 750 characters. Services: [list]. Areas: [towns]."

Before you rely on AI writing

  • Check every price, part number, code note and warranty term before it goes out. AI will invent details.
  • Never let AI give gas-line or water-main safety advice beyond basic shutoff guidance; gas smells go to the utility or fire department.
  • If emergency calls are ringing while you are under a sink, prompts will not catch them. See our AI receptionist guide.
