Loan signing work looks simple from the outside. Drive to a kitchen table, walk a borrower through 120 pages, get every signature and initial, ship the package. The business side is where agents lose money: orders from a dozen title companies and signing services, mileage nobody tracks, invoices sent late or never, and a few companies that pay in 90 days. A small, cheap software stack fixes most of that. AI helps with outreach and admin writing, and nothing else that touches the borrower.
A Thursday with three signings
- 8:00 a.m.: two offers came in overnight through Snapdocs, one refinance and one seller package. The agent accepts both. A third order came by email from a local title company.
- 8:20: all three go into NotaryGadget with file number, fee, address and the company's contact. Confirmation calls to borrowers go out by 9.
- 10:30: documents for the first signing arrive. Printed on legal and letter from both trays, checked for page count.
- 1:00 p.m.: refinance at the borrower's house, 22 miles away. Mileage logged. The borrower asks what the rate lock means. The agent says that is a question for the lender and gives the loan officer's number.
- 2:45: package scanned back, dropped at the shipping counter, tracking number added to the order.
- 6:30: last signing done. Three invoices sent from the app before dinner.
- Sunday night: the agent asks ChatGPT for a short email to two new escrow officers she met at a realtor event, edits it and sends it Monday at 7:45 a.m.

What it costs at each stage
Part-time, five signings a month. NotaryGadget free tier covers your first 15, Snapdocs free, Wave free, ChatGPT free. $0 for the first few months, then about $10 to $12 a month. Use your cell number until volume justifies a second line.
Full-time, 50 signings a month. NotaryGadget $9.99, Quo $15, Wave Starter free, ChatGPT free. About $25 a month. If your average fee is $125, that is $6,250 in monthly billing. Tracking unpaid invoices alone likely saves more than the software costs every single month.
Small signing team with two or three notaries. NotaryGadget for each agent, Quo for a shared line at $15 per user, Wave Pro at $19 for clean books, and a Calendly Standard seat for general notary appointments. Around $80 to $105 a month, depending on headcount.
Do not forget the real costs: E&O insurance, background screening renewals, printer toner, paper, and mileage. At the IRS standard rate, a 40-mile round trip is a real share of a $100 signing. Track it, because it is deductible and because it tells you which jobs to turn down.
Setting up in an evening
- Create a profile in Snapdocs with your coverage area, hours, certifications and E&O details.
- Set up NotaryGadget with your fee schedule by signing type: refinance, purchase, seller, HELOC, reverse mortgage.
- Add every title company and signing service you work with, including their payment terms.
- Turn on mileage tracking, or log the round trip for each order.
- Connect Wave or your bookkeeping tool, so income and expenses land in the right tax categories.
- Write three templates: borrower confirmation, title company delivery confirmation, and a polite past-due reminder.
Where AI is safe to use
Outreach. Most signing agents are bad at selling themselves to title officers. AI can write a short, specific email: who you are, where you cover, your turnaround, that you scan back within two hours. Keep it under 100 words.
Past-due reminders. Chasing money is awkward. A firm but friendly note with the file number and date is easy to draft and easy to reuse.
Your profile and website. A clear one-page site with coverage, certifications and a contact form helps title companies find you outside the platforms.
Your own checklists. Ask for a pre-signing checklist by loan type (ID check, page count, notarial certificates, scan-back order) and print it. Edit it to match your state's rules before you rely on it.
Not safe: anything a borrower would read as advice. Do not paste loan documents into a chatbot either. They are full of personal financial information that you are responsible for protecting.
What we would use
Everyone: Snapdocs, because it is free and that is where many orders come from. For tracking and invoicing, NotaryGadget. It costs less than a single signing per year, and it is the only tool on this list built around what signing agents actually do. Wave for books. Add Quo once borrowers and title offices are calling your personal phone at dinner.
We would not pay for a big CRM or general business software. Your list of clients is a few dozen title and escrow offices, and NotaryGadget keeps them organized.
The catches for signing agents
Platform offers from signing services can pay low fees, and software makes it easy to accept too many of them. Track profit per signing, not just volume. NotaryGadget's free tier runs out fast if you are busy. Snapdocs controls how offers get distributed, so your volume can swing for reasons you cannot see. And loan volume follows interest rates. Your software will tell you how slow a month was, but not how to fill it, which is why outreach and general notary work matter.

FAQ
What is the best software for a loan signing agent?
NotaryGadget is built for signing agents and is free for your first 15 signings. After that it is $9.99 a month billed annually or $11.95 month to month. It tracks orders, mileage, invoices and unpaid fees. Snapdocs is a separate thing: a free platform where title and escrow companies send signing offers.
Is Snapdocs free for notaries?
Yes. Joining and receiving mobile signing offers costs notaries nothing, and Snapdocs says it does not take a share of your signing fee. A paid Snapdocs RON subscription, $20 a month for one user, only matters if you want to create and run your own remote online notarizations.
How do I get paid faster by title companies and signing services?
Invoice the same day with the file number, borrower name, date and fee, and keep a running list of who owes you. Software that shows aging by company tells you who pays in two weeks and who pays in two months. Stop taking orders from anyone who regularly pays past 60 days.
Can AI help me find more signings?
It can write short, specific outreach emails to title and escrow officers, follow-up notes after a signing, and a one-page profile listing your coverage area, certifications and hours. Personal visits and fast, clean signings still win the work.
Can I use ChatGPT to explain loan documents to borrowers?
No. Signing agents are not allowed to give legal or loan advice, and explaining terms can cross that line. You can describe what a document is called and where to sign, then refer questions to the lender or title officer. AI is fine for your own admin, not for borrower questions.
What does a signing agent need besides a commission?
Usually errors and omissions insurance, a background screening many title companies require, a journal if your state requires one, a dual-tray laser printer and a reliable car. Many agents also hold a signing agent certification from a national organization, which some title companies ask for.
