Cleaning businesses write constantly: quotes, booking texts, follow-ups, review replies, promos and checklists for the crew. The free ChatGPT tier handles most of it with good prompts. Copy these, fill in the brackets, and always read the output before you send it.

Tip: start each chat with a short "about my business" note (residential or commercial, services, service area, pricing approach, tone). Do not paste customer addresses, door or alarm codes, or payment details.

1. Quotes

  • Inquiry to quote: "Turn these details into a friendly quote for a house cleaning: [bedrooms, bathrooms, sq ft, pets, frequency, price]. List what is included, what is not, and how to book. Under 200 words."
  • Standard vs deep vs move-out: "Explain the difference between our standard clean, deep clean and move-out clean in plain English using these inclusions and prices: [details]."
  • Commercial bid: "Write a short janitorial proposal for a [office type] of [sq ft], cleaned [X] times per week. Include scope, schedule, supplies, insurance note placeholder and monthly price $[price]."
  • Price objection: "Write a polite reply to a customer who says our quote is higher than another cleaner. Explain what is included (insured, vetted crew, checklist, re-clean guarantee) without bashing competitors."

2. Booking texts and follow-ups

  • Reminder: "Write a reminder text for a cleaning tomorrow between [window]. Ask them to secure pets, pick up clutter, and reply C to confirm. Under 40 words."
  • Quote follow-up: "Write a two-sentence text following up on a cleaning quote I sent [X] days ago. Friendly, no pressure, offer an open slot on [day]."
  • One-time to recurring: "Write a short text after a first deep clean inviting the customer to switch to biweekly service at $[price], with a first-month discount of [offer]."
  • Win-back: "Write a friendly email to past customers we have not cleaned for in [X] months, with a [offer] if they book by [date]."

If you quote and schedule often, run it in Jobber or Housecall Pro so customers can book and pay online, and use ChatGPT to tighten the wording.

3. Google review replies

  • Positive review: "Reply to this 5-star Google review for my cleaning company: [review]. Thank them by first name, mention the crew and the type of clean, under 50 words, no emojis."
  • Negative review: "Reply to this negative review about a missed area: [review]. Stay calm, apologize, do not argue or share details, and offer a free re-clean by calling our office. Under 80 words."
  • Review request: "Write a short text asking a customer for a Google review after today's clean. Include a link placeholder, under 40 words."

To send review requests automatically after every job, look at NiceJob or Podium.

4. Seasonal offers

  • Season calendar: "Make a 12-month marketing calendar for a cleaning business in [region]. For each month, list what to promote (spring cleaning, move-out season, back-to-school, holiday prep, post-holiday) and one post idea."
  • Spring cleaning email: "Write a short email announcing spring deep cleans for $[price], with a booking link placeholder and a deadline of [date]."
  • Holiday prep: "Write a Facebook post offering pre-holiday cleans before [date], limited slots, with three quick tips for hosting guests."
  • Realtor / property manager pitch: "Write a short email to local realtors and property managers offering move-in/move-out cleans with fast turnaround and photo checklists."

Drop the copy into Canva for flyers and posts, and send emails with Mailchimp.

5. Crew notes and checklists

  • Room checklist: "Create a room-by-room cleaning checklist for a [standard / deep / move-out] clean, as short bullet points a crew can check off."
  • Job notes: "Rewrite these customer preferences into clear crew notes: [notes]. Sections: priorities, do-not-touch items, products to use or avoid, pets, entry instructions placeholder."
  • Issue report: "Turn these notes into a polite message to a customer about something we found or broke during a clean: [notes]. Own it and explain next steps."
  • Translate: "Translate this crew checklist into Spanish in simple, clear language: [checklist]."

6. Website and Google listing

  • "Write a 300-word service page for [service, e.g. move-out cleaning] in [town], with a short FAQ. Only use these facts: [facts]."
  • "Write a Google Business Profile description for my cleaning company under 750 characters. Services: [list]. Areas: [towns]."

Before you rely on AI writing

  • Check every price, inclusion and guarantee before it goes out. AI will invent details.
  • Do not let AI recommend mixing chemicals or surface treatments you have not verified.
  • Track invoices and expenses in QuickBooks Online.
