Window cleaning shops write all day: pane-count quotes, hard-water explanations, booking reminders, review replies, realtor and HOA pitches and checklists for the truck. The free ChatGPT tier handles most of it with good prompts. Copy these, fill in the brackets, and always read the output before you send it.
Tip: start each chat with a short "about my business" note (residential or commercial, interior/exterior, screens and tracks, towns you cover, deposit policy, tone). Do not paste customer addresses with gate codes, alarm codes or payment details.
1. Quotes
- Inquiry to quote: "Turn these details into a friendly window cleaning quote for a homeowner: [number of panes / stories / interior+exterior / screens / hard water noted, price]. List what is included, what is not (screens, tracks, skylights if separate), dry-time or streak expectations, and how to book. Under 200 words."
- Pane vs story pricing: "Explain in plain English how we price by [pane count / story / square footage of glass] using these rules and prices: [details]. Keep it clear for a first-time customer."
- Hard-water / mineral add-on: "Write a short, calm explanation of our hard-water and mineral-deposit treatment add-on at $[price], what it covers, what results we can realistically promise after one visit, and that severe etching may not fully reverse. Under 120 words."
- Screens, tracks, skylights: "Add a short option block for cleaning [screens / window tracks / skylights / solar screens] at $[prices] to this window quote: [quote text]. Keep the same tone."
- Commercial / storefront bid: "Write a short proposal for window cleaning a [storefront / office / HOA building] with about [panes / stories], cleaned [frequency]. Include scope, after-hours access note, insurance placeholder and price $[price]. Under 220 words."
- Price objection: "Write a polite reply to a customer who says our quote is higher than another cleaner. Explain what is included (pure water or method, screens if included, insured crew, ladder/safety, satisfaction follow-up) without bashing competitors. Under 100 words."
2. Booking texts and follow-ups
- Confirm booking: "Write a short text confirming window cleaning on [day] between [window]. Ask them to unlock gates, secure pets, clear items from windowsills if interior is included, and reply C to confirm. Under 45 words."
- On my way: "Write a friendly text from a window tech named [name] saying they are about [X] minutes out. Under 25 words."
- Quote follow-up: "Write a two-sentence text following up on a window cleaning quote I sent [X] days ago. Friendly, no pressure, mention an open slot on [day]."
- After-job tip: "Write a short thank-you text after we finished their windows today. Mention keeping screens off until dry if needed, and include a review link placeholder. Under 50 words."
- Win-back: "Write a friendly email to past customers we have not cleaned for in [X] months, with a [offer] if they book by [date]. Under 120 words."
- Recurring / maintenance plan: "Write a short text after a first clean inviting the customer to a [monthly / quarterly / twice-yearly] window plan at $[price], with a small discount of [offer]. Under 50 words."
If you quote and schedule often, run it in Jobber or Housecall Pro so customers can book and pay a deposit online, and use ChatGPT to tighten the wording.
3. Google review replies
- Positive review: "Reply to this 5-star Google review for my window cleaning business: [review]. Thank them by first name, mention interior/exterior or the home type if they did, under 50 words, no emojis."
- Negative review: "Reply to this negative review about streaks, missed panes or hard water: [review]. Stay calm, apologize, do not argue or share private job details, and invite them to call so we can make it right. Under 80 words."
- Review request: "Write a short text asking a customer for a Google review after today's window cleaning. Include a link placeholder, under 40 words."

4. Seasonal and niche marketing
- Season calendar: "Make a 12-month marketing calendar for a window cleaning business in [region]. For each month, list what to promote (spring pollen clean, pre-holiday guests, post-winter hard water, realtor showings, storefront shine, fall leaf season) and one post idea. Stay practical, no fear-mongering."
- Spring cleaning email: "Write a short email announcing spring exterior and interior window cleans for [offer], with a booking link placeholder and a deadline of [date]. Under 120 words."
- Hard-water post: "Write a Facebook post for homeowners in [town] about hard-water spots on glass. Helpful tips, honest about what one visit can and cannot fix, soft CTA. Under 80 words."
- Realtor / property manager pitch: "Write a short email to local realtors and property managers offering fast turnover window cleans with photo checklists and preferred pricing. Under 120 words."
- Storefront / HOA pitch: "Write a calm FAQ answer or short pitch for recurring [storefront / HOA] window cleaning on a set schedule. Only use these facts: [facts]. Under 100 words."
Drop the copy into Canva for flyers and posts, and send emails with Mailchimp.
5. Crew notes and checklists
- Job checklist: "Create a short on-site checklist for a residential window clean: protect landscaping and floors, method (squeegee / pure water), screens and tracks if included, post-inspect with customer, payment. Bullet points a tech can check off."
- Customer preferences: "Rewrite these customer preferences into clear crew notes: [notes]. Sections: interior vs exterior priority, pets, hard-water panes to focus on, do-not-open windows, entry instructions placeholder."
- Streak / etching found: "Turn these notes into a polite message explaining etched glass or a permanent spot we found: [notes]. Set honest expectations and offer next steps. Under 100 words."
- Translate: "Translate this crew checklist into Spanish in simple, clear language: [checklist]."
6. Website and Google listing
- "Write a 300-word service page for [service, e.g. hard-water window cleaning / storefront windows / screen cleaning] in [town], with a short FAQ. Only use these facts: [facts]. No invented certifications or insurance claims."
- "Write a Google Business Profile description for my window cleaning business under 750 characters. Services: [list]. Areas: [towns]. Mention pure-water systems or certifications only if I provide them in the facts."
Before you rely on AI writing
- Check every price, inclusion, story limit and guarantee before it goes out. AI will invent details.
- Do not let AI recommend chemical mixes, ladder setups or roof work you have not trained and insured for.
- Do not paste gate codes, alarm codes or card details into ChatGPT.
- Stay inside your insurance and any high-reach or commercial contract limits you actually hold. AI copy is not a safety plan.
- If booking calls ring while you are on a ladder, prompts will not catch them. See our AI receptionist guide.
