ChatGPT prompts for landscapers (2026)

Most landscapers do not need a fancy AI stack to save time. The free ChatGPT tier, plus a few good prompts, can handle the writing that piles up between jobs: quotes, follow-ups, review replies, seasonal promos and crew instructions. Copy these, fill in the brackets, and always read the output before you send it.
Tip: start each chat by pasting a short "about my business" note (services, towns you cover, pricing style, tone). Do not paste customer phone numbers, gate codes or payment details.
1. Quotes and estimates
- Turn notes into a quote: "Write a clear, friendly landscaping quote from these walk-through notes: [notes]. List each line item with price, what is included, what is not included, the start window, payment terms, and that the quote is valid for 30 days. Keep it under 250 words."
- Good / better / best: "Create three package options for a [yard size] [service, e.g. spring cleanup] job: basic, standard and premium. Use my prices: [prices]. Explain in plain English what the customer gets at each level."
- Explain a price: "A customer says my $[price] mulch and bed edging quote is high. Write a short, polite reply explaining what drives the cost (materials, labor, disposal) without sounding defensive."
If you send quotes often, put them in a tool like Jobber or Housecall Pro so customers can approve and pay online, and use ChatGPT to tighten the wording.
2. Follow-ups that win the job
- Quote follow-up: "Write a two-sentence text following up on a landscaping quote I sent [X] days ago for [job]. Friendly, no pressure, offer to answer questions."
- Last-chance follow-up: "Write a final follow-up email for an unanswered quote. Mention our schedule is filling up for [month] and offer to hold a slot until [date]."
- Past customer check-in: "Write a short text to customers we did [service] for last year, asking if they want to book again this season. Include a booking link placeholder."
3. Google review replies
- Positive review: "Reply to this 5-star Google review for my landscaping business: [review]. Thank them by first name, mention the specific work, under 50 words, no emojis."
- Negative review: "Reply to this negative review: [review]. Stay calm and professional, acknowledge the issue, do not argue, and invite them to call us to make it right. Under 80 words."
- Review request: "Write a short text asking a happy customer for a Google review after we finished [job]. Include a link placeholder and keep it under 40 words."
To send review requests automatically after every job, look at NiceJob or Podium.
4. Seasonal marketing
- Season calendar: "Make a 12-month marketing calendar for a landscaping company in [region]. For each month, list the service to promote (spring cleanup, aeration, fall leaf removal, snow removal, etc.) and one post idea."
- Door hanger / flyer copy: "Write door hanger copy for a [season] [service] promo in [town]. Headline, three bullet benefits, an offer, and a call to action. Under 60 words."
- Social posts: "Write five short Facebook posts for a landscaping business this [month]: one tip, one before/after caption, one promo, one crew shout-out, one customer question."
- Email to your list: "Write a short email announcing we are booking [service] for [season]. Include an early-booking discount of [offer] and a deadline of [date]."
Drop the copy into Canva for flyers and posts, and send emails with Mailchimp.
5. Crew notes and operations
- Job sheet: "Turn these notes into a simple job sheet for my crew: [notes]. Include address placeholder, tasks in order, materials to load, safety notes, and what 'done' looks like."
- Training checklist: "Write a one-page checklist for a new crew member on mowing and trimming standards: edging, clipping cleanup, blowing hard surfaces, gate and pet safety."
- Rain day text: "Write a short text telling customers we are pushing their service because of rain, with the new day as [day], and apologizing for the change."
- Translate: "Translate these crew instructions into Spanish in simple, clear language: [instructions]."
6. Website and Google listing
- "Write a 300-word service page for [service] in [town], with a short FAQ. Only use these facts: [facts]."
- "Write a Google Business Profile description for my landscaping company under 750 characters. Services: [list]. Areas: [towns]."
Before you rely on AI writing
- Check every price, date and promise before it goes out. AI will invent details if you let it.
- Keep a doc of your best prompts and your business note so you are not starting from scratch.
- If missed calls are costing you jobs, prompts will not fix that. See our AI receptionist guide.
